Our client is the world-wide leading supplier of systems for the field of assisted animal reproduction. They offer an expansive range of products and services for artificial insemination, embryo transfer and associated biotechniques that effectively support customers working in animal breeding, veterinary medicine and research around the globe.
This successful and growing business is now seeking an energetic, self-motivated person to join their growing team as an Operations Administrative Assistant. Working from their head office in Ingersoll, Ontario the key position will focus on front line customer service and sales support including order management and office administration.
Duties
First point of contact of incoming phone calls, provide customer service support to customer calls including receiving and reporting customer complaints.
Process sales orders that are received via email or phones calls, enter and manage orders in ERP software.
Perform full range of tasks in order fulfillment including communicating customer orders for shipping, picking and packing orders and preparing for shipment.
Does any necessary administrative work includes filing reports or presenting sales team with necessary documents.
Assist sales team and arrange necessary activities for trade fairs that the company attends.
Contributes to team effort by accomplishing related results as necessary.
Invoicing customers, processing customer payments, making bank deposits.
Working with and maintaining confidential information, trade secrets and proprietary company information.
Some travel as needed to attend trade shows or customer meetings
As part of the team, share ideas and improve operations, recommending, supporting, and implementing continuous improvement activities, process, and procedure improvements to optimize results and improve quality of product.
Promote and adhere to safety in the workplace. Follow safe work practices and adhere to health and safety regulations. Promote safety awareness and participate in safety training programs. Correct unsafe acts and conditions and ensure equipment is properly maintained. Report all accidents/ incidents. Inspect your own area and take remedial action to minimize or eliminate hazards.
Complete required training assignments, forms, and other paperwork.
Other duties as required.
Qualifications
Post-secondary degree in business administration, animal science or related fields would be a valuable asset.
Proficient with the MS Office suite of products
Organized and effective with detailed administrative tasks
Excellent communication skills (both written and verbal)
Experience in order entry management and ERP systems.
A work history showing performance accomplishments and significant responsibilities.
Some post-secondary training and/or on the job experience in livestock reproduction/ animal science related to the primary duties of this position are desired.
A proactive approach to problem-solving with a focus on delivering results.
